License Notifications in Variphy

How to Configure License Notifications in Variphy

1. Set Up SMTP Server.

Configure an SMTP server to enable email notifications. For detailed instructions, refer to our guide.

2. Configure Email Recipients.

The email addresses that should receive alerts must be configured. To do so:

  • Access the System Settings section (gear icon).
  • Navigate to the Email Recipients option.
  • Add the email addresses that should receive alerts.

3. Access License Notifications.

  • Note: Only System Admins have access to the License Notifications page.
  • Go to the System Settings section (gear icon).
  • Locate and select the License Notifications menu.

4. Set Up License Notifications.

There are three options within the License Notifications menu.

a. License Expiration Email Alerts

Enable this option to receive email notifications 60, 45, 30, 15, 10, 7, 6, 5, 4, 3, 2, and 1 day ahead of the expiration date.

b. License Overage Email Alerts

Enable this option to be notified when you exceed your license count on any platform. Optionally, set up alerts to be sent to the Customer Success Team, who can help resolve the issue.

c. License Unit Threshold Alerts

Configure notifications for when you’re approaching your maximum license count. Set the threshold percentage (default is 90%, but can be adjusted from 1-100%), and receive email notifications when you reach or exceed the set percentage of licensed units.

Additional Considerations

  • Regularly review and update email recipients to ensure the right personnel receive notifications.
  • Periodically check your license usage to avoid unexpected overages.
  • Keep your SMTP server configuration up-to-date for reliable email delivery.
